In this exciting and fun role, you will report directly to and support the CEO/President and will be responsible for the coordination of activities, ensuring the timely flow of information to and from the executive office. The ideal candidate will be high-energy, versatile, highly organized, possess the ability to think outside the box while problem-solving, and be able to support cross-functional coordination in a fast paced environment!
You will be required to be available during regular business hours, with a few evenings and/or weekends on occasion, for special events as needed, to provide support and assistance to the CEO. Some travel may be required. You will have a counterpart, to whom you will report to make the job more fun and will share in the below job functions!
Coordinate the day-to-day activities of the CEO; manage calendars, schedule meetings, conference
and other appointments & make appropriate travel and accommodation arrangements
Draft and finalize a wide range of documents including formal correspondence on behalf of the CEO
Greet guests of CEO, in person or on the telephone, and answer or direct inquiries on his behalf
Process expense reimbursement and reconcile credit card statements
Maintain and keep CEO files, documentation and other important records up-to-date and current
Maintain accurate database of contacts for CEO routinely scanning business cards and importing into Outlook and locate missing information by utilizing all resources
Research and compile background information essential for the CEO to complete tasks
Preserve confidential information on behalf of the organization
Manage the replenishment inventory of supplies (copier, paper, toner, postage, kitchen, etc.), and handling outside vendors
Provide support for the President answering the phone, greeting guests and meeting logistics and support
Provide occasional administrative support to other staff, as directed, and other duties as assigned by the CEO
Requirements include ...
B.A. or B.S. from an accredited college or university
preferred (not required)
1+ years experience as an executive assistant
Superior writing expertise, verbal communication proficiency, and relationship-building skills
Team player with excellent communication skills
MS Office skills
